Accounting Assistant

We are currently seeking an Accounting Assistant to work closely in support of our Accounting Manager. 

Essential duties would include:

  • Verifying, coding and entering vendor invoices
  • Maintaining recurring payment schedule (i.e. rents, leases, loans, etc.)
  • Setting up new vendors and maintaining vendor files; independent contracts, W-9s and Certificates of Insurance when required
  • Establishing and maintaining all vendor files and preparing year-end 1099s
  • Working with the Accounting Manager to timely and accurately prepare/process all monthly billings
  • Assisting the Accounting Manager with review of timesheets and expense reports for bi-weekly payroll processing
  • Maintaining asset accounts and communicating with CPA to update depreciation schedules
  • Assisting Project Managers in tracking project progress, setting up new projects, verifying fees and verifying contracts
  • Assisting with collection of outstanding receivables when needed
  • Cross training in other accounting duties (i.e. payroll functions, government reporting, billing and collection, etc.)

Qualifications and Experience:

  • Degree in Accounting is preferred
  • 3-5 years experience, preferably with an engineering or architectural firm
  • Experience in Deltek Vision Software if preferred
  • Knowledge of accounting processes and procedures
  • Ability to work independently and establish priorities
  • Demonstrated ability to attend to detail is essential
